  • Account information, usernames, passwords, and communication preferences. 
  • Appointment requests, intake forms, service interests, and program registrations. 
  • Information you voluntarily provide about grief, trauma, wellness, caregiving, or other personal circumstances. 
  • Course enrollment, attendance, assessment, and certificate information. 
  • Provider Marketplace applications, professional credentials, biographies, photographs, licensing information, and business details. 
  • Transaction information related to purchases, memberships, subscriptions, or donations. 
  • Communications sent through our website, email, telephone, text messages, chatbot, or virtual service platforms. 
  • Device information, IP address, browser type, website activity, referral source, and cookie data. 
  • Emergency contact or parent/guardian information when appropriate. 

Please do not submit confidential medical information through ordinary email, social media, chatbots, or unsecured website forms.

2. How We Collect Information

We may collect information:

  • Directly from you when you complete a form, purchase a service, enroll in a course, schedule an appointment, or contact us. 
  • Automatically through cookies, analytics tools, and similar technologies. 
  • From providers, payment processors, virtual-service platforms, referral partners, or other parties when permitted by law. 
  • From publicly available professional or business sources when evaluating Provider Marketplace applications. 

3. How We Use Your Information

We may use personal information to:

  • Respond to questions and service requests. 
  • Schedule consultations, coaching sessions, classes, or virtual appointments. 
  • Provide grief support, trauma-informed coaching, wellness education, and related programs. 
  • Process course enrollments and issue completion certificates. 
  • Operate the Provider Marketplace and evaluate provider applications. 
  • Process payments, subscriptions, refunds, and membership fees. 
  • Send appointment reminders, program updates, customer-service messages, and requested communications. 
  • Send promotional emails or text messages when you have consented to receive them. 
  • Personalize and improve our website, programs, and customer experience. 
  • Detect fraud, protect our systems, and maintain safety. 
  • Maintain business, tax, and transaction records. 
  • Comply with legal obligations and enforce our agreements. 

4. Health and Sensitive Information

Some Gentle Heal Solutions programs involve grief, trauma, bereavement, wellness, caregiving, or other sensitive subjects. We use sensitive information only as reasonably necessary to provide the service requested, administer our programs, maintain safety, or comply with the law.

Gentle Heal Solutions’ educational, coaching, peer-support, and wellness services are not a substitute for medical care, psychotherapy, emergency services, or advice from a licensed healthcare professional.

HIPAA applies only to covered healthcare entities and their business associates—not automatically to every wellness or coaching organization. If Gentle Heal Solutions provides a service subject to HIPAA, the applicable health information will also be governed by a separate Notice of Privacy Practices. The U.S. Department of Health and Human Services explains these requirements for covered entities and business associates.

5. Payments

Payments may be processed by independent payment processors, such as Stripe, PayPal, GoDaddy Payments, or another provider displayed at checkout. Gentle Heal Solutions generally does not receive or store complete payment-card numbers. Payment providers process information according to their own privacy policies and security practices.

6. When We May Disclose Information

We may disclose information to:

  • Contractors and service providers that support hosting, scheduling, payment processing, email, text messaging, analytics, customer management, virtual services, or technical operations. 
  • Independent providers you select or authorize through the Provider Marketplace. 
  • Government authorities or other parties when required by law, subpoena, court order, or legal process. 
  • Appropriate persons when reasonably necessary to address suspected fraud, abuse, threats, safety concerns, or violations of our policies. 
  • A successor organization in connection with a merger, reorganization, financing, sale, or transfer of business assets. 
  • Other parties when you direct us or give your consent. 

Independent practitioners listed in the Provider Marketplace may maintain their own privacy policies and professional obligations. Gentle Heal Solutions is not responsible for an independent provider’s privacy practices.

7. Sale and Sharing of Personal Information

Gentle Heal Solutions does not sell personal information for money.

We do not knowingly sell or share personal information for cross-context behavioral advertising. If our practices change, we will update this policy and provide any opt-out method required by law.

8. Cookies and Analytics

Our website may use cookies and similar technologies to:

  • Keep the website functioning. 
  • Remember preferences. 
  • Measure website traffic and performance. 
  • Understand how visitors interact with our content. 
  • Support advertising or marketing campaigns.

We may still send non-promotional messages necessary to complete transactions, respond to requests, provide safety information, or administer services.

We retain information for as long as reasonably necessary to provide services, maintain legitimate business records, resolve disputes, enforce agreements, and meet legal obligations.

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no website, email system, electronic transmission, or storage method can be guaranteed to be completely secure.

11. Children’s Privacy

Our general website is not directed to children under 13, and we do not knowingly collect personal information online directly from children under 13 without verifiable parental or guardian consent.

Some youth programs may collect information through a parent, guardian, school, or authorized organization. When youth participation is permitted, we may require parental or guardian authorization.

If you believe a child provided information without appropriate authorization, please contact us so we can review and, when required, delete it.

The California Consumer Privacy Act applies only to businesses meeting specified legal thresholds. Current threshold information is available from the California Privacy Protection Agency. California commercial websites may still have privacy-policy obligations under other laws, including CalOPPA, as explained by the California Attorney General.
